Job Title: Speakers Bureau Recruitment Coordinator

Job Purpose: To work with the meetings managers to execute nationwide dinner meetings.  This role requires prior experience, preferably in the pharmaceutical industry. Candidates must be strategic thinkers with the ability to take initiative, and possess strong communication skills.

Primary Duties and Responsibilities:

  • Support meeting managers in the coordination of 300-400 live or virtual speaker programs annually
  • Manage audience recruitment efforts including
    • Meeting invitation and Flyer creation
    • E-mail campaign dissemination
    • Mailer deployment
    • Inbound call registration
    • Attendee data management (data processing of RSVPs)
    • Inventory management of meeting materials
  • Pre-Meeting material shipments - Collating, packing and shipping of meeting supplies via FedEx.
  • Schedule virtual program platform and audio conference lines for virtual programs (if applicable)
  • Provide other logistical coordination support to meetings management team as needed


  • Bachelor’s degree.
  • Minimum of 1 year office experience, preferably in the pharmaceutical industry or in meeting planning.
  • Outgoing individual with the desire to learn.
  • Exceptional attention to detail and organizational skills.
  • Articulate and possessing excellent oral and written communications.
  • Ability to manage stress in a professional manner and work well under pressure.
  • Team oriented and capable of multi-tasking on projects in a fast-paced environment.
  • Call Center – phone agent experience.
  • Ability to work additional hours when necessary.
  • Computer skills desired:
    • Basic to Intermediate level for Microsoft Office Word, Excel, and Outlook required;
    • Familiarity with email campaign tools, virtual web platforms, Survey Monkey, Adobe PDF, and FedEx preferred;
    • Some web based database experience required, a plus;
    • Ability to quickly learn new applications.

Working Environment:

  • Normal office environment. May require some evening and weekend work.
